Job Description:

MinnWest Technology Campus is seeking a full-time Project Assistant for our beautiful, one hundred acre campus located in Willmar, MN.

About Us:

The MinnWest Technology Campus maintains a beautiful, one hundred acre campus that is focused on attracting and retaining business partners to an innovative, collaborative, and unique working environment. With over twelve commercial cottages at over 18,000 square feet each, the MinnWest Technology Campus has a wide variety space that can be remodeled to suit each companys unique staff, technology and workflow needs.

The Opportunity:

The Project Assistant is located at the Multi-Tech building on the MinnWest Technology Campus and will provide general and specialized administrative, property and construction project management support. The incumbent works closely with the General Manager and will serve as a source of information and assistance for all employees and external customers.

  • Must practice the utmost confidentiality regarding Company information;
  • Relies on experience and judgment to plan and accomplish goals;
  • Ability to work independently with strong time management skills is required;
  • Given the responsibilities within this environment, the ideal candidate will reside in or near Willmar Lakes Area;
  • A valid state drivers license is required

    Summary of Primary Responsibilities (not limited to):

    Administrative Support:
    • Performs a wide variety of administrative duties including but not limited to:
    • Accurate and timely preparation of documents, spreadsheets and presentations
    • Preparing invoices, reports, memos, letters and financial statements
    • Collecting, organizing and maintaining company files and logs of records retention
    • Collecting, organizing and distributing required documents to internal staff and outside parties
    • Answering telephones
    • Maintain the electronic sign
    • Host external groups and conferences
    • Plans and manages conference room reservations for internal and external customers.
    • Maintains records management systems.
    • Performs basic accounting work including:
    • Analyzing and accurately recording expenditures
    • Coding and coordinating all billing and invoices
    • Reporting on variances between actual and budgeted costs
    • Paying vendor invoices

      Property Management Support:
      • Prepares, enters, and tracks work orders in a computerized system, generating reports from this information.
      • Serves as on-site point of contact for internal and external customers. Answers questions or refers concerns by communicating proactively and demonstrating commitment to high quality service.
      • Works closely with Campus tenants to resolve issues and correct problems.
      • Promotes the image of the company to customers and other stakeholders.

        Construction Project Management Support:
        • Attends construction project meetings and records the meeting minutes.
        • Accompanies the General Manager to project construction sites for purposes of ensuring follow through on maintenance and construction projects including but not limited to:
        • Work Orders
