GENERAL SUMMARY: The Events Manager supports both the promotion and operations of events, for both internal and external customers. This role will focus on communication, logistics, and on-site support of the National Faculty Meeting and Commencement events that takes place twice a year. In addition, support for other university events; academic residencies, tradeshows, and other meetings will be required as needed. ESSENTIAL DUTIES AND RESPONSIBILITIES: The Events Manager will drive the communication plan for commencement activities. This role will work internally with the Registrar and various other academic departments as well as departments in the Commercial Operations Division to create a strategy, build out the website and registration system, and make improvements to the existing strategy. Additionally, this role will handle a portion of the day to day logistics management for this event including; meeting management, inventory, working with vendors, and security planning. Success will be measured via the outcomes of the event performance; event quality, attendee engagement, cost efficiencies, and collaboration with key stakeholders through-out the university. OTHER DUTIES AND RESPONSIBILITIES: Maintain close relationship with colleague teams to coordinate all event logistics, and student capacities. Project Management of commencement communication plan from conceptualization to implementation, working with other teams as needed throughout this process. Create and manage graduate registration within Cvent. Work with Senior Manager to create new informative communications via blogs, webcasts, social media, and other mediums. Respond to graduate and student questions via email and phone. Work with Commercial Operations on commencement specific events; managing space needs, food and beverage, power, and audio visual needs. Manage emergency preparedness action plan with Laureate safety and security and venue contacts. Identify, investigate, propose, and implement cost reduction opportunities. Provide office support in preparation for on-site events; including shipping, printing, and ordering supplies. Manage vendors as needed including reviewing quotes, sourcing new vendors, and working with procurement on contracts. Collaborate with key stakeholders to ensure optimal execution of events across all functional areas including commencement, residencies, and marketing and alumni relations. Collaborate on the development of event marketing plans to maximize event performance As a member of the University Events Team, collaborate with team members to provide support for Walden University events, including, Honors and Awards dinners, National and Regional Faculty Meetings, Alumni Events, and other on-the-ground activities, including leading specific meetings within events. Perform other duties and responsibilities that management may deem necessary from time to time. Display professional behavior at all times while onsite at University Events. MANAGEMENT/SUPERVISORY RESPONSIBILITIES: Events Manager will manage the planning and onsite execution of events and is responsible to relay pre and post event status reports. Detail oriented Forward thinking in terms of planning and problem solving Excellent communications skills and ability to multitask EDUCATION and/or EXPERIENCE: Bachelors degree required with 1 year of management experience preferred 3 years of events or event planning experience, preferred Strong written and verbal communication skills Ability to communicate vision both upwardly and parallel Ability to adapt, multitask and prioritize competing deadlines in a fast-paced environment Effective in meeting deadlines with management and key internal stakeholders. Excellent project management and organizational skills: ability to plan and manage multiple events simultaneously. Detail oriented with solid analytical and problem-solving skills. Ability to work effectively within a team and remote environments Comfortable analyzing and reporting data Proficient in Microsoft Office Suite. Familiarity with PowerPoint and Cvent event management preferred Ability to lift and carry items weighing up to 40 pounds. Ability and willingness to travel to event locations; approximately 15-20% travel - some on weekends and holidays
