II. Job Summary:The Contracts & Grants Compliance Manager oversees a growing portfolio of grants and contracts for a leading/industry recognized/award winning workforce development nonprofit and serves as an inter-departmental liaison responsible for closely collaborating with agency leadership, Advancement, Finance, Human Resources and Program teams to provide guidance over budget development and spending, monitor grant and contract compliance, manage billing and reconciliation, monitor best practices, and report on grant and contract progress. The Contracts & Grants Compliance Manager will report to the Vice President of Finance, is a member of the EMERGE Management Team and will collaborate with program staff to establish and track meaningful goals and outcomes and generate outcome reports in a timely manner as required by various sponsors. III. Core Job Functions:The Contracts & Grants Compliance Manager acts as a project manager to oversee and manage the life cycle of grants and contracts by performing a wide range of duties including but not limited to the following:Developing and overseeing a collaborative overall grant and contract management process that ensures all functional areas (Advancement, Finance, HR, Program) are included in grant/contract preparation, grant/contract orientation, billing and report preparation and compliance reviews to increase understanding of contractual obligations and meet donor compliance requirements.Partnering with appropriate staff on grant preparation and reporting, including developing budgets and a master grants calendar; facilitating ongoing communication with internal staff and external stakeholders regarding progress and areas of improvement; and identifying and developing strategies to optimize the grants management process.Developing, implementing and maintaining a billing process that ensures all reimbursement requests and invoices are accurate, complete and submitted to the funder in a timely manner, all required backup documentation is available for audits and other reviews and all expenses are accurately reconciled. Developing and maintaining financial tracking processes, worksheets and reports and partnering with Executive, Advancement, Finance and Program leaders to regularly review spending progress and plan future spending that all funds will be expensed by the program end date.Providing support to Director of Finance for budget development and financial forecasting. Coordinating with Advancement, Finance and Program staff to prepare for successful site visits with program sponsors.Performing any other tasks and duties necessary in order for the agency to meet its mission. *Essential Job Function IV. Position Requirements:Education and Experience Bachelor's degree in Accounting, Business Administration or related field preferred or equivalent combination of post-secondary education and relevant experience. At least 2 years of relevant experienceExperience successfully managing and supervising multiple administrative projects. Skills, Knowledge and AbilitiesDemonstrated skills in Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook.Knowledge of financial management software. Ability to work effectively in a mission-driven agency whose clients and staff reflect significant diversity with respect to race, ethnicity, gender, orientation, socio-economic status, nationality and religion.Ability to establish and maintain positive working relationships with others, both internally and externally, to achieve the goals of the organization.Ability to communicate effectively with diverse audiences using appropriate and effective communication tools and techniques.Ability to work cooperatively and effectively with agency managers and leaders to set goals, resolve problems, and make decisions that enhance organizational effectiveness.Ability to assess situations to determine the importance, urgency and risks, and make clear decisions which are timely and in the best interests of the organization. Demonstrated skill in project managementBasic fiscal management skills, including developing and monitoring budgets and financial reporting. V. Working Conditions and Environment:Enterprise: Incumbent will have a private office/designated workspace in a typical office environment. The building is multiple floors and fully accessible and is smoke-free. Work will include regular local travel. Working hours are generally Monday through Friday, 8 am-5:00 pm, but will include occasional evening and weekend hours. Local travel in the metro area may be required.
