It will support complex, time sensitive and confidential projects and tasks, as well as work with a dynamic, geographically dispersed team.The successful candidate will be an organized, self-starter with vast experience supporting an executive in a fast-paced business. The individual must demonstrate the ability to work with confidential information and exhibit a high degree of trustworthiness. The position requires an individual that is resourceful and can work autonomously, take initiative and demonstrate excellent follow through with the ability to communicate proficiently.The candidate must be a team player, exhibit strong interpersonal skills, and the ability to manage complex projects and assignments. Candidate must be comfortable with multi-tasking and prioritization in a fast-paced environment with close attention to detail, accuracy and timeliness.Responsibilities include but are not limited to:--- Planning and assisting with events, various projects and large meetings--- Coordinating and preparing materials in advance for leader and participants for meetings--- Professionally preparing complex and confidential letters, emails, reports, and presentations using a variety of forms and methods--- Scheduling and coordinating meetings and travel arrangements managing time zone differences, scheduling challenges and local time sensitivities--- Proactively managing various leader's calendars, prioritizing meetings and events to maximize leader effectiveness--- On boarding new associates and caring for technology needs of current staff--- Handling personal and confidential company materials, emails and phone calls with sensitivity and discretion--- Effectively managing invoice processing and submitting to accounts payable, ensuring accuracy of payments and researching concerns as needed--- Provides support and facilitates projects and processes, such as year-end processing, budget, etc.--- May attend off-site meetings on occasion with leaders which may include limited travelThe ideal candidate will be:--- Skilled at determining the urgency and importance of competing priorities--- An independent decision maker who is extremely focused--- A seasoned partner willing to understand the business and anticipate business needs--- Strives to continuously improve operations and open to feedback from others

Required Qualifications

  • 3+ years of administrative support experience

    Desired Qualifications
    • Experience supporting senior level leaders/executives
    • Strong research and documentation skills
    • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
    • Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment
    • Experience facilitating meetings with team members in various remote locations
    • Ability to handle confidential material in a professional manner
    • Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments flawlessly
    • Highly refined and professional verbal and written communications

      • Strong attention to detail; able to manage multiple-step procedures and handle frequent interruptions in work flow remain focused on goals and deadlines in a fast paced team
      • Experience working in a large complex organization

      • Knowledge and understanding of HR Online tools and HR policies
      • Experience supporting leaders in the auto industry

        Salary Information
        The salary range displayed below is based on a Full-time 40 hour a week schedule.
